Privacy Policy
Last updated: 8 October 2026
This policy explains how Earnd Coaching collects, uses and looks after your personal information when you visit our website, get in touch, book a call or become a client. We are committed to protecting your privacy and handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Earnd Coaching is a personal training and coaching business run by Salem Alawi ("we", "us", "our"). We are the data controller for the personal information described in this policy.
If you have any questions about this policy or your data, email us at earndcoaching@gmail.com.
2. The information we collect
When you send an enquiry through our contact form: your name, email address, phone number (if you give it), your main goal, the type of coaching you are interested in and anything you write in your message.
When you book a call: your name, email address, the date and time you choose and any notes you add to the booking.
When you become a client: information needed to coach you safely and effectively. This can include your age, height, weight, body measurements, progress photos, training history, injuries, medical conditions, medication that affects exercise, diet and lifestyle information, and the results of any health screening questionnaire. It also includes payment records and our messages with you.
When you visit the website: like any website, the services that deliver it (our hosting provider, Google Fonts and our image provider) receive technical information such as your IP address, browser type and device. We do not use analytics or advertising tracking on this website.
3. Health information
Information about your health and body is "special category data" under UK GDPR and gets extra protection. We only collect it when you become a client and only with your explicit consent, which we will ask for before your coaching starts. We use it solely to plan safe, suitable training and nutrition guidance for you. You can withdraw your consent at any time, but we may then be unable to continue coaching you safely.
4. How and why we use your information
| What we use it for | Our lawful basis |
|---|---|
| Replying to your enquiry and arranging your free consultation | Legitimate interests (responding to people who contact us), or steps taken at your request before entering a contract |
| Delivering coaching, programmes, check-ins and support | Performance of our contract with you |
| Using your health and fitness information to coach you safely | Your explicit consent |
| Taking payments and keeping financial records | Contract, and our legal obligations (for example tax records) |
| Sharing your before and after photos or results publicly | Only with your separate, explicit consent, which you can withdraw at any time |
| Keeping the website secure and working properly | Legitimate interests |
We will never sell your personal information, and we will not send you marketing emails unless you have opted in to receive them.
5. Who we share it with
We only share your information with trusted service providers who help us run the business, and only as much as they need:
- Web3Forms, which delivers messages from our contact form to our inbox.
- Cal.com, which handles call bookings and calendar invitations.
- Google (Gmail), which hosts our email.
- Our website hosting provider, and Google Fonts and Unsplash, which serve fonts and images on the website.
- Any coaching app, payment provider or messaging service we use to deliver your coaching, which we will tell you about when you sign up.
We may also share information if the law requires it, or to protect someone's vital interests in an emergency.
6. International transfers
Some of these providers store or process data outside the UK, including in the United States and the European Union. Where this happens, we rely on recognised safeguards such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
7. How long we keep it
- Enquiries and bookings that do not lead to coaching: up to 12 months, then deleted.
- Client records, including health information and progress photos: for as long as you are a client, then up to 2 years in case you return or a question about your coaching comes up, unless you ask us to delete them sooner.
- Financial records: 6 years, as required for tax purposes.
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict or stop using your information;
- object to how we use your information;
- ask for your information in a format you can take to another provider;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email earndcoaching@gmail.com. We will reply within one month. There is normally no charge.
9. Cookies
Our website does not set its own cookies. If you use the booking calendar, Cal.com may set cookies that are needed for the booking to work. You can block or delete cookies in your browser settings.
10. Children
Our services are for adults aged 18 and over. We may coach 16 and 17 year olds only with the written consent of a parent or guardian. We do not knowingly collect information from anyone under 16.
11. Keeping your information safe
We use reputable, secure services, protect our accounts with strong passwords and two-factor authentication where available, and limit access to your information to what is needed to coach you.
12. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
